Please understand that scheduling appointments for well and sick visits, following up on doctors’ recommendations, showing up on time for your appointments, and payment of your bill in full are your responsibilities in maintaining our veterinarian/client/patient relationship.
APPOINTMENT SCHEDULING
When scheduling appointments, please share all potential problems that you would like to have assessed during your visit. We use this information when determining the duration of your appointment block. If problems are not reported until arrival at the clinic, then we may not have adequate time to address those problems during that visit, and will require you to schedule another appointment to have additional problems addressed. If problems are identified during an appointment scheduled solely for maintenance drug administration (ex. Cytopoint injection, Librela injection, Adequan injection), anal gland expression or nail trimming; then you will also be charged an exam/consultation fee for identification of that problem and development of its treatment plan.
LATE ARRIVALS
If you arrive late for your appointment, you limit the amount of time that the doctor can devote to you and your pet, and you throw off the timeline for all the other patients scheduled for the remainder of that day. Late arrivals will be charged $50, and may need to reschedule to be seen on a different day if there are already other appointments scheduled for the timeslot following yours. Additionally, if you are repeatedly late for appointments, then you will be required to prepay an exam fee (and any previously assessed fees in full) prior to scheduling your next appointment, and may lose your privilege to continue our veterinarian/client/patient relationship.
MISSED APPOINTMENTS
Unless we receive notice of cancellation 24 hours in advance, you will be charged $50 for missed appointments. Please help us maintain the highest quality of care by keeping scheduled appointments. Additionally, if you repeatedly late cancel or no show for appointments, then you will be required to prepay an exam fee (and any previously assessed fees in full) prior to scheduling your next appointment, and may lose your privilege to continue our veterinarian/client/patient relationship.
PHONE AND EMAIL CONSULTATIONS
In situations where you are unable to schedule an appointment for an exam due to our schedule being fully booked, we may be able to provide a tentative diagnosis and/or symptomatic treatment recommendations based on a phone conversation with our doctor and/or email sharing of photos and/or videos of your pet’s symptoms. Phone and email consultations will be charged a fee of $53 per incident. If your pet’s problem is not resolved based on that consultation, then you will need to schedule an appointment for an exam to fully assess the situation. Federal law prohibits veterinarians from prescribing drugs for patients that have not had a physical exam within the past 12 months; therefore, we cannot offer phone or email consultations to patients that do not meet that criterion.
PRESCRIPTION DRUG AND PRESCRIPTION DIET DISPENSING
Federal law requires an active veterinarian/client/patient relationship (defined as having had at least one in person physical exam in the past 12 months) for veterinarians to legally prescribe drugs or prescription diets. Federal law also prohibits return of prescription medications; therefore, we cannot refund purchases of prescription drugs.
FULL PAYMENT is due at the time of services. If balances have accrued on your account due to fees from late or missed appointments, those will need to be paid in full prior to scheduling your next appointment. Any unpaid balance over 90 days old will be subject to a monthly interest of 1.0% (APR 12%). If payment is delinquent, the client will be responsible for payment of collection, attorney’s fees and court costs associated with the recovery of the monies due on the account.
INSURANCE
Please remember if you have pet insurance, your insurance policy is a contract between you and your insurance company. We are not a party to that contract. As a courtesy to you, our office will provide copies of medical records to be submitted to insurance companies upon request. It is physically impossible for us to have knowledge and keep track of every aspect of your insurance. It is your responsibility to contact your insurance company to inquire about coverage and to file claims for reimbursement of covered expenses that you have already paid at the time care was provided.
NEW CLIENT APPOINTMENTS
We greatly appreciate your referrals of your family and friends as new clients to our practice. As a thank you, we will apply a $25 credit to your account when they have their first visit with us and will give them a reduced new client patient exam fee for that visit when they tell us that you referred them to our practice. All new clients are now being required to pre-pay for their first exam when scheduling an appointment, and will forfeit that fee if they do not show up for their appointment.
